Hong Kong tenancy guide
Hong Kong Tenancy Evidence
Organise tenancy documents, payment evidence, photographs and complete messages into a factual timeline, with original files and redacted sharing copies.
Quick answer
Keep original agreements, payments, condition photographs and complete correspondence, then link them in a dated timeline. Mark facts, responses and uncertainties separately. Redact sharing copies while retaining the original files securely.
Collect the main records
- The complete signed agreement, amendments and inventory.
- Rent, deposit and other payment acknowledgements.
- Move-in, repair and handover photographs with their context.
- Complete messages and attachments, including relevant replies.
- Notices, delivery evidence and any settlement documents.
Copyable timeline fields
Link each event to its original evidence and retain relevant context, including material that may support another explanation.
Date and time: [details] What I personally observed: [facts] Relevant agreement clause: [if any] Original document / photo / message reference: [file] Other party’s response: [details] Agreed / disputed / uncertain: [status] Document or response still needed: [details]
Keep originals and review sharing copies
A short screenshot may omit the surrounding conversation. Preserve complete files and make a separate working copy for annotations. Removing a name alone may not anonymise a case: addresses, dates, amounts and distinctive photographs can still identify people.
A timeline is not a finding
Organisation helps explain the issue but does not prove every allegation or guarantee a claim outcome. Keep uncertain dates or causes clearly labelled and check the relevant tribunal or adviser’s actual requirements.
Compare the two checks
| Item | What to check |
|---|---|
| Original file | Keep the full content and provenance. |
| Sharing copy | Redact unnecessary personal information for its purpose. |
Frequently asked questions
Can I keep only the strongest message?
Keep the full relevant exchange so the statement and reply can be understood in context.
Does hiding the name make a document anonymous?
Not necessarily. Consider the remaining information and combinations that may identify someone.
How should WhatsApp evidence retain its context?
Keep the original conversation and attachments, then prepare a separate review copy showing dates, times, contact identifiers and surrounding replies. An address-book nickname alone does not authenticate identity. Link timeline entries to original messages or files and annotate or redact copies, retaining relevant context and any procedure-specific evidence requirements.
